Your Marketing Tools Don't Talk to Each Other. Here's How to Fix It.

Your marketing tools don't talk to each other when leads, data and decisions live in separate places: the ad platform, the form, a spreadsheet, the CRM and the sales team's WhatsApp. The fix is not another tool. It is marketing automation built on a mapped funnel, clean tracking and one CRM as the source of truth, so you can follow every lead from click to revenue.

I started my career as a marketing technologist, and I still believe most growth problems are plumbing problems first. Below is the order I use to fix them, whether you run five tools or fifty.

Signs your marketing tech stack is broken

You rarely notice a broken stack in one moment. You notice it in small arguments that repeat every week. Common symptoms:

  • Leads fill in a form and never reach sales, or reach them two days later.
  • The ad platform, the CRM and finance report three different numbers for the same month.
  • Sales says marketing leads are poor, and nobody can prove or disprove it.
  • Someone exports a CSV every Monday to move data between tools by hand.
  • You know your cost per lead, but not your cost per customer or revenue per channel.
  • Nobody trusts the dashboard, so every meeting starts with the same question: where did this number come from?

If three or more of these sound familiar, the problem is not your team's effort. It is the way your tools are wired. More budget will only push more leads into the same gaps.

How to connect your marketing tools, step by step

Do these in order. Automating before tracking is fixed just moves bad data faster.

Step 1: Map the funnel and every tool in it

Draw the journey from first click to paid invoice on one page. For each stage, write down the tool that holds the data, who owns it and which event moves a person to the next stage. Include the unglamorous parts: the landing page builder, the form tool, the call centre sheet and the payment gateway. Most teams find a stage where the data simply stops, usually between the form and the first sales call.

Step 2: Fix tracking before you automate anything

You cannot do lead tracking from click to revenue without clean data at the start. Get these basics right:

  1. Agree on one UTM naming convention for source, medium and campaign, and enforce it in every link.
  2. Set up GA4 with clear conversion events, not just page views.
  3. Install the ad platform pixels and, where possible, server-side conversion APIs, so you are not relying on browser cookies alone.
  4. Pass UTM values and click IDs into hidden form fields, so they reach the CRM together with the lead.

That last point is the one most teams miss. If the source does not travel with the lead, you will never connect spend to revenue.

Step 3: Make one CRM the source of truth

Pick one system that owns the customer record. HubSpot, Zoho, Salesforce or a well-built Airtable base can all work at different stages. What matters is the rule: every lead, every status change and every deal lives there. Other tools can read from it and write to it, but nobody keeps a private list on the side.

Step 4: Connect the rest with automation tools (Zapier vs Make vs n8n)

Once the CRM is clear, connect everything else to it. Zapier is the fastest to start with and the easiest for non-technical teams. Make gives you more control over complex, multi-step scenarios and can be more cost-effective at higher volumes. n8n is open source and can be self-hosted, which suits teams with a developer and stricter data requirements. The choice matters less than documenting each flow: what triggers it, what it changes and who fixes it when it breaks.

Automating journeys on email, WhatsApp and push

With clean data in one place, you can build journeys that react to what people actually do. A lead who downloads a guide gets a different follow-up from one who books a demo. A trial user who has not logged in for three days gets a nudge. A customer who has just paid gets onboarding, not another sales pitch.

Keep the first journeys simple: welcome, nurture, re-engagement and onboarding. Measure each one against a single goal before you add branches.

WhatsApp marketing automation

In MENA, the real conversation often happens on WhatsApp. Use the WhatsApp Business API through an approved provider, connect it to your CRM and log every conversation against the lead. Respect opt-in rules and keep your templates useful. A fast, relevant WhatsApp reply often does more than a long email sequence. Push notifications do the same inside an app: short, timely and triggered by behaviour.

Lead scoring, routing and one reporting dashboard

Lead scoring tells sales who to call first. Start with a simple model: points for fit, such as company size, sector and country, and points for intent, such as pricing page visits, demo requests and replies. Agree the threshold with sales, not on your own. Then automate the routing, so a qualified lead reaches the right person within minutes, with its source and history attached.

Finally, build one reporting dashboard that everyone uses. It should show spend, leads, qualified leads, customers and revenue by channel in a single view. Feed it from the CRM and ad platforms, not manual sheets. When marketing and sales look at the same numbers, the conversation changes. You stop debating whose data is right and start discussing what to do next.

Where AI helps in marketing operations, and where humans stay

AI in marketing operations is useful today, but in specific places. This is where I see it pay off:

  • Enrichment: filling in company, role and sector from a name and an email address.
  • Drafting: first versions of emails, WhatsApp templates and ad variations.
  • Summarising calls: turning a sales call into notes and next steps inside the CRM.
  • Classifying leads: reading free-text form answers and tagging intent or fit.
  • Cleaning data: spotting duplicates and inconsistent fields before they spread.

Humans still own everything that needs judgement: the offer, the positioning, the scoring rules, what you say to an unhappy customer and the final call on budget. AI drafts and sorts. People decide. More on the tools in the AI stack I actually use as a CMO.

What I learned building marketing systems in-house

With a Computer Science background, I have always looked at marketing as a system. When I led growth at a fast-growing fintech, I built the marketing systems, reporting structures and dashboards behind an in-house marketing team working across several products. The lesson I keep coming back to: a shared definition of a lead matters more than any tool.

At mazeed, I run full-funnel marketing across performance, SEO, email, automation and content. Automation is what makes that range manageable. I still use Zapier, Make, Airtable and AI tools every day, and I still start every new setup the same way: map first, track second, automate third.

FAQ

What is marketing automation in simple terms?

Marketing automation means using software to move leads and data between your tools and to send the right message at the right moment, without manual work. It covers form-to-CRM syncing, email and WhatsApp journeys, lead scoring and routing leads to sales.

Should I choose Zapier or Make?

Zapier is easier to start with and suits simple flows and non-technical teams. Make suits complex, multi-step flows and gives you more control. If you have a developer and strict data requirements, n8n is worth a look.

Can my team set this up without a developer?

Yes, for most early-stage setups. Tracking, CRM configuration and no-code automations are within reach of a curious marketer with the right guidance. If you want to build that skill inside your team, my mentoring programs are a good place to start.
